Client subscriptions
Subscriptions let you retain clients with fixed-term contracts (1 to 12 months). Available from the Starter plan.

Create a plan template
Section titled “Create a plan template”From Subscriptions → Plans → + New plan, define:
- Name — e.g. “Unlimited access 6 months”
- Duration — 1, 3, 6 or 12 months
- Weekly limit — max spots per rolling 7-day window (leave blank = unlimited)
- Monthly limit — max spots per calendar month (leave blank = unlimited)
- Total price — incl. tax
- Enrolment fee — optional, charged on top at sign-up
- Max instalments — 1, 2 or 3 payments
Create a client contract
Section titled “Create a client contract”From Subscriptions → Active contracts → + New contract:
- Select the client
- Choose a plan (or configure a custom contract)
- Set the number of instalments and payment method:
- Bank transfer or Cash — mark each instalment as received manually
- Card online (Stripe) — PaymentIntents are created automatically
- Set the start date
Instalments are generated automatically based on the duration and number of payments.
Managing instalments
Section titled “Managing instalments”Click a contract to open the detail panel. For each instalment you see the due date and its status. For transfer/cash payments, use Mark as received to validate manually.
Client access and quota
Section titled “Client access and quota”When a subscription is active, the client can book without paying per session. Limits are enforced in spots (not bookings):
- Weekly limit — rolling 7-day window
- Monthly limit — calendar month (1st to last day of the month)
Automatic emails
Section titled “Automatic emails”FitResa automatically sends:
- Confirmation — when the contract is created
- 7-day reminder — 7 days before expiry
- Quota exhausted — as soon as the last session of the month is used
Freeze a contract
Section titled “Freeze a contract”If a client is injured or temporarily unavailable, you can freeze their subscription without cancelling it. The end date is automatically extended by the number of frozen days when resumed — the client loses no time.
- Open the contract detail (click the row)
- Click ❄ Freeze
- The subscription shows a Frozen badge — the client cannot book during this period
- Click ▶ Resume to lift the freeze: the end date is recalculated automatically
Cancel a contract
Section titled “Cancel a contract”From the contracts list, click Cancel on the relevant row. The contract switches to Cancelled status and access is revoked immediately.
